Status of the work with administration at The Faculty of Health Sciences

Alongside the analysis of the study administration at SDU, we are conducting a separate analysis of the rest of the administration across the faculty.

The ultimate goal of the analysis is to create greater organizational robustness and reduce the experience of task pressure on individual employees.

In collaboration with the consulting firm Carve, the analysis work was launched in October 2022.

What has happened?

Since then, employees from all institutes and the faculty secretariat have contributed to making visible the administrative tasks that are being carried out locally at the institutes and in the faculty secretariat.

For a number of selected tasks, employees have also been involved in exploring how they are carried out.

Across the faculty, this has resulted in the following being mapped out:

  • 172 tasks across the areas of finance, HR, communication, Ph.D. and researcher support.
  • 4 processes related to:
    • Travel booking/reimbursement for trips paid by the institute
    • External projects - from granted to established
    • Appointments - from clarification of financing to approved candidates (VIP)
    • From Ph.D. application to appointment

What is the status?

Based on the mapping of tasks and processes and an analysis thereof, Carve has developed a catalog of ideas with suggestions for 12 initiatives.

All initiatives are included in the catalog of ideas because, according to Carve, they can contribute in different ways to strengthening the organization or reducing individual task pressure.

The results of the analysis and the catalog of ideas based on it have just been presented to the project's following group and steering group.

What is the next step?

Based on the catalog of ideas, the steering group consisting of the heads of secretariats of the institutes must now decide which of the 12 initiatives they wish to proceed with.

Then, the institute leaders' circle must approve the proposal.

Once this has been done, the implementation phase will start, which will run until the summer of 2023.
