OneDrive for Business for Windows

OneDrive for Business is a more flexible way to easily save, edit and share documents with colleagues and business partners.

OneDrive for Business is the business-oriented version of OneDrive for businesses and organizations, whereas OneDrive is for personal use.

The two versions should be regarded as two independent archives; when logging onto OneDrive for Business, you are logging in with your SDU-mail. When logging onto OneDrive, you are logging in with your private mail.

OneDrive for Business is part of Microsoft Office365 in the cloud.

You can access OneDrive and the other Office365 programs through portal.office.com. On this site, OneDrive and the other programs will appear as icons.

If you want to access OneDrive from a mobile phone or tablet, download the app in iTunes or Play Store and then log in with your SDU-account.

Features in OneDrive for Business

1: Share files or folders in OneDrive

Find the file in the online version of OneDrive - click on the three dots and then on "Share"

2: Choose how you want to share the files and folders

  1. This feature allows you to decide whether the persons you share document or folder with should be allowed to edit or whether they should only be allowed to read.
  2. Here you can search for and add the persons with whom the document is to be shared.
  3. You can use this feature if you only want a link to the document or file. Select ’Copy Link’, and you can now send the link yourself.
  4. This feature opens a new message in your Outlook. The link has been copied into the message and you may write the rest of the email yourself.
  5. Here you can see with which persons this folder or file is already shared.

If you do not want to apply the options in points 3 and 4, click the ’Send’ button. OneDrive will send an email with a link to the shared file or folder to the selected persons.

 

Sync your Files Between OneDrive and your Computer

One of the cool things about OneDrive is that you can view your files in Pathfinder or Explorer without them being stored locally on your computer. 

OneDrive offers the following features in file storage:

The Cloud indicates that the file is stored online and not locally on your computer

2: Green check mark

The green check mark indicates that the file is synced locally on computer – the file is stored both locally on your computer and online.

3: Solid green with a white check mark

Solid green with white check mark indicates that the file is permanently available on your computer.

4: Sync in progress

 

 

 

The arrows indicate that sync is in progress. When the process is completed, the icon will change to one of the above icons. 

 

If you want to change the status of your file or folder, you can do so by right clicking e.g. your file and then choose "Free up Space" - your file is changed from being located both locally and online to exclusively online in OneDrive. This will free up space locally on your computer. 

At present, OneDrive for Business does not have a feature that automatically frees up files and folders that have not been used for at long time. Besides, settings are individual for each device. If for instance you have two computers, you may have different settings on files and folders. 

Restoring Files and Folders

If you have accidentally deleted a folder or a file, you can recover it by accessing OneDrive for Business through your browser. - Remember to log in with your SDU-account.

In the navigation pane to the left you can access deleted files and folders by selecting "Recycle Bin".

To restore a file or a folder, click on the item and select "Restore".

Deleted elements can be restored for up to 90 days.

OneDrive Information Security

OneDrive for Business is still under development at SDU, so you must be aware of the following:

  • SDU does not have its own backup of documente etc., which are stored in OneDrive
  • Sync is performed between folders/files on your computer and the online versions in OneDrive. To avoid data loss, make sure that your files and folders have the correct status. 

OneDrive for Business is a service purchased by SDU. This means that data stored in OneDrive for Business is not stored on a SDU server but in Microsoft´s large data center, located within the EU.

As we do not have data stored on SDU servers, we follow Microsoft´s procedures and guidelines for backup of OneDrive. They may differ from SDU´s own internal procedure.
