SDU's image library

Guidelines and information for you, that needs to use SDU images.

Communication employees at SDU use the image database Skyfish as their image library.

Other users will be referred to SDU-images chosen for Word and PowerPoint, and are available via Templafy. The Templafy app will automatically open when opening Word and PowerPoint.

Images bought for specific purpose is stored in Skyfish. If you need access to these, please contact your Skyfsih responsible at your faculty or unit. 

Employees that would like to store images in the faculties image library Skyfish, needs to contact the Skyfish responsible. Remember that images  must be tagged to ensure they can be found later. A tag could be HUM+ image file's original number.

Need images you can use the below mentioned image agencies and databases. Please orient yourself in SDU's image guidelines first.

Colourbox
Colourbox can be used as an image agency/databse, it requires a license from SDU. You can find information about creating a Colourbox user her. (opens in Sharepoint)

At unsplash.com you will find good images and often free of charge. 


Skyfish responsible

People responsible for Skyfish have been appointed from all faculties and units. The Skyfish managers make sure to upload images from their own areas of responsibility.

Guidelines for Skyfish responsible

Uploading images

In Skyfish there are both images that are freely accessible to all employees at SDU, but there are also images for which the right of use is restricted. If there is a restricted right of use for an image, this will be clearly stated on the image.

In the joint folder "SDU-Image library" there are images that are free for use by all employees at SDU. The images are also available through Templafy so you can use them in Word and Powerpoint. If necessary, see the instructions forTemplafy to see how to find the images in Word and Powerpoint.

In addition to the folder with the freely available images, a folder structure has also been built up, where each individual faculty and the common area have their own folders. As a starting point, all images in Skyfish must be freely available to everyone, but always check whether there is a restricted right to use an image if you download an image outside of your own device.

Who can be created as a user in Skyfish?

All employees can basically be created as a user in Skyfish.
Ordinary users must only have access to see the general folder with images: SDU-Billedebibliotek.

New users are created with SDU email address as username. You will receive an email with a password and link upon creation.

Users in Colourbox have the same username and password in Skyfish.

If you can't remember your password from Colourbox the first time you want to log in to Skyfish, you can simply press "forgot password" and have a new password sent automatically.

However, before you try to log in with your Colourbox username, you must first be approved as a user in Skyfish by aSkyfish manager.


Guidelines for Skyfish Controllers

Upload of images

The Skyfish managers ensure that pictures taken in their area of responsibility are uploaded to Skyfish.

In connection with uploading, the Skyfish managers must ensure that their images are tagged correctly and provided with download notes that clearly indicate the purposes for which the individual images may be used. Images that are not provided with download notes or other reservations about use are generally considered to be available for use by all departments and purposes at SDU. But for the sake of good order, ask the uploader, or the skyfish responsible in the area, whether it is okay to use the image for the current purpose.

Those responsible for Skyfish can put images into their own faculty's subfolder outside the SDU Image Library. Here they will also be able to assign access to individual users.
Pictures that are placed under their own unit/faculty must be provided with a clear indication of the purposes for which they may be used.
It can be an advantage that, instead of assigning special access to individual users, you share a special folder that a specific user will have access to.

Also remember that all images placed in the folderSDU images for Templafycan automatically be used through Templafy, and therefore the images must be approved for general SDU use.

The difference between access and sharing

Access is granted to each individual user in the user administration, while sharing takes place by sending a link to the folder in an email.

Tagging/taxonomy

Searching for relevant images depends on the images in the database being tagged correctly, which is why it is absolutely necessary that the Skyfish managers from units and faculties ensure that all images are tagged with relevant keywords.See the list of keywords / taxonomy (only in Danish).

Tagging

It may be a good idea to ensure naming and tagging before uploading, so that all images are secured with correct meta tags and correct titles.

It is suggested that images retain their original camera numbering and add a relevant title. Eg. jubilaeum_2016_IMG_0021.jpg

Tagging and naming can be worked with in e.g. Lightroom (Adobe Photoshop Lightroom).

Availability

As a starting point, all images uploaded to Skyfish must be accessible to everyone at SDU. If images are uploaded that may not be used by others, you must provide them with a download note that clearly states that they may only be used under certain circumstances and with a contact person.

Individual Skyfish administrators can upload to specific folders that others cannot see for temporary and internal use. But even if uploading to a hidden folder, the images must still be tagged and provided with download notes.

Editing of images

It is possible to make a simple edit in Skyfish. For example, it is possible to make a crop so that the image fits theimage formats on SDU. The various formats for the website are by default in the cropping tool. If necessary,beskaering-af-billeder-i-skyfish_eng

After cropping an image, download the image and save it to your own computer. The cropped version of the image should not be saved in Skyfish. It must, for example, be added to the media library in Sitecore if it is to be used on the website.
