Exam support

SDU Odense

Technical Services provides support for exams held at SDU Odense, including room booking, setting up for oral exams and booking invigilators (exam supervisors).

Rooms and invigilators are booked via Teams, TS – Exam organisers.

To gain access, please contact  eksamensvagt@sdu.dk. We will set you up so you can access your orders.

In the Teams site, there are folders named with months, which contain order forms for each faculty. Each exam organiser has a tab in the order form.

For exams in January, February, June and August, simply fill in the order form. Deadlines can be found further down the page.

Outside these exam months, i.e. from March to May and September to December, the order must be entered in the form and then an email must be sent to ekamsensvagt@sdu.dk to provide notification of the booking. Here the deadline is ongoing, 4 weeks before the exam.

Booking deadlines are as follows:

Winter exams (January and February)

Ordinary exam - JANUARY

 

- Written examination

1 November

-Oral examination 

15 November (preferably earlier, particularly for oral exams that require a large number of rooms, preparation rooms or special equipment. We can then take that into account in our planning). 

Re-examination - FEBRUARY

As soon as possible, no later than 10 January

Summer exams (June and August)

Ordinary exam - JUNE

 

- Written examination

1 April

- Oral examination

15 April (preferably earlier, particularly for oral exams that require a large number of rooms, preparation rooms or special equipment. We can then take that into account in our planning).

Re-examintion - AUGUST

As soon as possible, no later than 15 June

Exams in other months

No later than 4 weeks before the exam

 

Orders received after the deadline will be processed after punctual orders have been finalised.

Feedback

For exams in January and June, the units will receive notification from Technical Services about the allocation of rooms by mid-May and mid-December.

For re-examinations in February and August, as well as exams in other months, the units will be notified immediately after Technical Services has allocated rooms.

Setting the table for an oral exam

When organising an oral exam, the room is set up as follows:

  • Examination room: Paper, pens, green tablecloth, jug and cups.
  • Preparation room: Paper and pens.

Cancellation of rooms and invigilators must be made no later than 4 working days before the exam and reported to eksamensvagt@sdu.dk. Remember to cancel IT support for written exams as well.

Rooms and invigilators can be booked if a student who does not attend SDU wishes to take an exam on campus. A fee will be charged to cover the costs incurred by SDU in this connection.

Invigilators can be booked for tasks other than exams such as uniTEST, counting tasks, etc. See more under security guard/guard service.

SDU Esbjerg/Kolding/Slagelse/Sønderborg

Student Services supports the organisation of exams held in Esbjerg, Kolding, Slagelse and Sønderborg in collaboration with Technical Services. Student Services handles or assists in the recruitment of new invigilators, handles the allocation and booking of invigilators and rooms, while Technical Services takes care of the set-up for oral exams. The central Technical Services department is responsible for paying the invigilators.

Note

Use of the premises for teaching purposes takes precedence over use for exam purpose (with the exception of January and June)

In some cases, for capacity reasons it may be necessary to organise the exam between 8:00 a.m. and 10:00 p.m. (inclusive).
