Background check of prospective employees

According to the URIS guidelines, SDU and the other Danish universities are obliged to have procedures in place for carrying out screenings and thorough background checks on people who have applied for a position at the university.

Based on the URIS recommendations (LINK), the University of Southern Denmark is finalising a set of guidelines for background checks (screening) when hiring new employees, including PhD fellows.

Screening, including a possible extended screening, applies to applicants from a country mentioned in the URIS recommendations if the applicant is either a citizen of one of these countries or has stayed in the country for an extended period of time.

It is the responsibility of the academic environments to conduct a pre-screening after the application deadline for a job if they are considering inviting a candidate for an interview who fulfils the criteria for screening.

SDU SAFE conducts a thorough screening

SDU SAFE will be involved in the screening process if the pre-screening leads to further investigation of the applicant or if the potential future employee will be engaged in critical research (LINK to previous news) or will have special access to areas, including to critical research infrastructure or critical IT systems.

An extended screening includes an assessment of any risks of unwanted knowledge transfer upon employment of the candidate in question. The screening is expected to be completed within seven working days from receipt of the complete application material.

- We have made a plan for how our procedures for background checks of future employees will be implemented in the organisation, and we will implement them in close dialogue with the academic environments via the faculties, says Mads Niemann-Christensen, head of division for SDU SAFE.

The new guidelines are expected to come into force after the summer holidays.
