How to organize a new PhD course also within DGPE
Overall: Start the process in good time.
Approvals from PhD School and possibly also Study Board take time!
Email conversation back and forth with possible speaker/s may also take a while.

How to organize a PhD course
Draft up a course description: Course title, name expected speaker/s, ½-1 page description of course content, exam form, approximate course dates, brief budget.
Discuss with your platform chairperson and/or department management for possible topics.
Contact possible speaker/s for a previous agreement informing them that the course is still awaiting final approval.
Discuss with the ECON PhD Coordinator, your ideas for a new course. Also decide whether the course should be strictly PhD course offered within DGPE or not, or also offered co-taught for SDU master students.
Apply to the PhD School using this form. Remember to state your suggested participation fee for participants outside Denmark (PhD students from Danish Universities are exempted from payment).
If you want the course to also be offered as an elective course for master students, you should also get the course description approved at the respective Study Board (run this via department VILU).
NOTE: If the course should also be offered co-taught for SDU master students, please be aware that summer school courses are offered as spring courses with the course registration deadline 1 November the year before. A course description in this case should be ready and approved by the study board in August/September the year before offered.
DGPE approval: The ECON PhD Coordinator will forward your course description and budget to the DGPE network.
Finalize your agreement with the external speaker/s and settle the course program.
It is a good idea if the speaker also gives one regular seminar for the whole Department during his/her stay. Arrange this with the ECON seminar organizer.
The course will automatically be announced at www.phdcourses.dk after approval by the PhD School.

Contact the ECON secretariat for promotion on department websites.
You can also choose to use different channels:
- Group posting (e.g. EH.net, INOMICS).
- Emails to secretaries at other departments (CBS, Copenhagen University, Aarhus University,
etc.), other important people in the field.
The ECON secretariat will set up the digital registration form (in Conference Manager). To do so, you need to clarify and inform them of the terms (category of participants, fee agreed with the PhD School, etc.).
Fill in the department order form for events.
State needed accommodation for guest speaker/s, lecture room, etc.
Food, coffee breaks, dinner: This is only possible in case of a strictly DGPE PhD course. DGPE will pay for lunch (sandwich), tea and coffee throughout the course. You may also arrange a dinner.

When co-taught with master students, there will be no food during the course.
ECON secretariat will send out emails to all the non-SDU participants with information about: Directions to SDU, Map of SDU campus, Course programme, Wi-Fi instructions.
Course material will be shared for all participants via Itslearning.
Non-SDU participants need to be enrolled separately. The ECON secretariat will make sure the IT is informed.
After the course
Honorarium and travel reimbursement forms: Inform the ECON secretariat about the number of hours the speaker should be paid for (usually 275 EURO per 45-minute lecture, GDPE rate 2022).
The ECON secretariat will forward the necessary forms to the speaker.
Certificates of participation
Most of the PhD students will ask for participation diplomas, necessary for obtaining credits or reimbursements from their home universities.
Clear this with the ECON secretariat, who has template to be used here. The secretariat will also help send out the diplomas.
