New study administrative system

Along with six other universities in the New SIS Programme alliance, SDU has just signed an agreement on the construction of a new student information system (SIS). After a long tendering process and a document that has been awaiting approval from the Danish Parliament’s Finance Committee, work can now begin with the winning supplier – Fluido.

And the winner was Fluido and their Salesforce solution!

The supplier Fluido won the tender for the new SIS with its Salesforce Education Cloud system solution. Fluido has significant experience with implementing study administrative systems in Northern Europe, including at universities in Norway and Finland. The new student information system, which will replace STADS, is built around a number of solutions, which are all designed to support the life cycle of students from admissions to alumni. 

For SDU and the other universities, the Salesforce Education Cloud will ensure greater use of self-service solutions, common overall processes across the universities and the automation of workflows. In addition, the system is cloud based, which provides an increased level of security and data quality, as well as more coherent data. 
     

A system with focus on the student

On signing the contract, SDU is one step closer to the common ambition to put the needs of students at the centre of the administration process, and University Director Thomas Buchvald Vind is delighted that SDU has now reached an important milestone.

– The contract has been a long time coming, but we are now ready to enter the next phase. It has been important for the universities to enter into a collaboration with a supplier who has solid knowledge of the universities as well as experience with running development projects. Fluido was the tenderer who scored highest on the overall requirements. So I’m very satisfied with the result of the tender and look forward to the continuing process, says Thomas Buchvald Vind, university director.

The clarification phase begins in November

With the contract in place, SDU and the other universities can now start the next phase of the programme: namely, the clarification phase, which is expected to start in November 2023 and will run until March 2024. 

During the clarification phase, various contract elements will be identified with a view to ensuring that the universities in the programme alliance get the best possible product and the most optimal processes when the shared solution is implemented. At the same time, the clarification phase will give Fluido deeper insight into the universities’ existing IT environment, processes and needs and can thus better adapt the future system solution to these. 

Once the final methods, tools, processes, resources and schedules are established, the technical setup of the new SIS solution will begin.

Setting up the new system solution

Acting Director of Studies Stinne Hørup Hansen is looking forward to starting the collaboration with Fluido on adapting their system solution to the universities’ needs:

– Our vision is to replace our current system landscape – i.e. the old STADS and a large number of self-developed solutions – with a shared, modern and much more future-proof platform. The supplier has a standard system that already works, but in certain respects it can be shaped according to our collective wishes and business processes. After the clarification phase, the seven universities will establish a shared so-called ‘master solution’ together with Fluido, and then over the next five years we will all take up the solution, says Stinne Hørup Hansen and continues:

– We have a good across-the-board collaboration with the universities on the shared goal of being more united and trying to reduce variation across our sector. I am pleased that this process will allow us to be innovative and think in the long term, and also adjust some of our habits, which will be held up to intense scrutiny. In this way, we’re implementing a major boost of skills within the study administration. 

According to the schedule, KU and DTU are expected to be the first to start using the system, followed by SDU in the autumn of 2028.

New SIS Programme alliance

The SIS Programme alliance consists of seven universities: KU, CBS, DTU, ITU, SDU, AAU and RUC. The aim is to improve the quality and efficiency of the study administrative area by means of better IT support and optimised processes. Today, the study administrative work at the Danish universities is supported by systems that are almost 30 years old. It is these outdated systems that the programme alliance will replace with an up-to-date system.
