Greater coordination of major SDU events
It has been decided that, in future, major SDU events organised by faculties or campus cities will be supported by central university units during the planning stage through early coordination and relevant professional consultation.
A new framework for the planning and coordination of major events at SDU has been introduced.
The initiative is intended to help provide the Rectorate with greater reassurance regarding planning, safety, communication and practical matters, as well as to ensure a more consistent approach to the organisation of events across the university.
The new framework entails, amongst other things, that:
- a fixed kick-off meeting is introduced for major events that meet the specified criteria.
- a fixed agenda item is established at the Rectorate Coordination Meeting and the Executive Board Meeting entitled ‘Major events on the calendar’.
- the Rector’s Staff (including SAFE), Communications, Technical Services and IT will take on a coordinating role and provide relevant advice and support.
Ownership remains with the organisers
The scheme covers events where SDU is the host or co-host with the participation of the Rectorate, where external VIP guests are present, where there are special security or emergency preparedness considerations, or where the event is of strategic importance to SDU.
The faculties or campus cities retain ownership of the events but are supported by the central units to ensure professional, well-prepared and consistent organisation.
Going forward, Technical Services – as is currently the case – must be notified of major events via 8888@sdu.dk. Technical Services and the Rector’s Staff will then assess whether the event meets the criteria for a kick-off meeting and the coordinated involvement of relevant units.
