How to register working hours

Guidance for SDU employees (TAP, DTAP, student helpers, project employees) who register working hours

This navigation note guides you, who need to register working hours, through mTIME.

Open mTIME

Access mTIME via:
https://mtime.sdu.dk/login

Log in with your SDU work email and password if you are asked to do so (e.g. if you use your own equipment)

When you use an SDU computer, you will automatically be logged into mTIME

 

 

Select rows for the overview

Click on "Select absence type/project" to add the relevant rows to your overview

 



Check the absence types that are relevant to you.

Then click on the cross.

The selected activities will now be displayed in your overview



Select period

Change the period so you can see a whole month at a time



Registration of working hours

”Arbejdstid/
Working time”

Every day around midnight, mTIME will automatically fill in your workday with your daily norm (37 hours per week = 7.4 hours per day) if you have not registered hours yourself by then.

If you want to change the number of hours on a specific day, you must first delete the auto-filled number of hours (press Enter to remove the speech bubble), then enter the correct number of hours. You can select another month in the calendar on the left side.

Registration of planned absence

Absence such as illness and other unplanned absence must be entered manually in mTIME


If you want to change your vacation, this must be done in SDU HCM

Registration of other absence

Absence such as illness and other unplanned absence must be entered manually in mTIME

Select the correct absence type and enter the number of hours for the absence.

Note! If the absence is less than a normal working day, the hours must be divided between working time and absence. The total time must not exceed 7.4 hours per day.

Adding a comment

If you want to add a comment to your registration, this can be done on the left side. Stand in the field for the relevant day.

Approval of hours

You must approve your timesheet every month by the fifth of the month, after which the timesheet will be locked.

Go to the "Overview" tab under "Summary" on the left side. Check that your hours are correct and then click on "User approve".

Your manager does not need to approve your timesheet.

Overview of my time

 On the far right of your timesheet, you can see a total for your total working hours per month

  • Top line “Time total” = Total hours spent
  • Middle line ”Hours per day” = Daily working hours
  • Bottom line ”Difference” = The difference between your actual hours and your daily working hours
 

If you are covered by the flexitime scheme, you must register working hours in Buanco.

Submission of working hours, digital approval by supervisor, payment

If you cannot log in to mTIME via an SDU computer/VPN connection, please contact dtap-loen@sdu.dk

 

Navigation sheet

Fill out and submit your timesheet

DTAP - Hourly paid

Complete your timesheet and send it to the hourly payroll controller for payroll payment.

Please note the following:

  • Only approve your timesheet when the entire month is completed.
  • Even if you haven't worked any hours in a given month, you are still required to send the empty timesheet in for approval.
  •  You must use your work email, if do you do not have a password for your work email go to: password.sdu.dk
  •  You must set up MFA (Multi factor authentication) and have the Microsoft Authenticator app for your smartphone. Go to mfa.sdu.dk to set it up.  
  • For assistance with password and MFA, please contact IT Service.

Choose work profile

If you have multiple jobs at the university, or work for different units, you can choose between them in the bottom left corner via the ”Skift bruger” button

Choose month

Navigate to the month you wish to register hours for via the button in the top left

The dropdown menu under ”Periode” allows you to view an entire month rather than a week at a time.

 

 

Find your “Analysenummer”

Only has to be done once per number

Press “Fraværstype/project

Put a checkmark next to the numbers you need to enter hours for.

Never select:
“Arbejdstid/Working Time”

 

 

Register hours

 

Click on the small pencil under the correct day

Type in start and end times in “Fra kl.” and “Til kl.”

Only for HK/PROSA: If you were required by your supervisor to work later than 17:00 or on a weekend make sure to use “Planlagt med leder” under the ”Årsag” dropdown menu, otherwise leave it on “Egen planlagt tid”

Press ”Gem og luk”

 

 

Place hours on the correct “Analysenummer”

Place hours on the correct “Analysenummer”. If you have several numbers you work for, make sure you divide the hours correctly.

Sending your timesheet for approval

When the month is done click on ”Oversigt” under ”Opgørelse” on the left-hand side.

You can only send your timesheet once per month, so make sure it is correct.

Send the timesheet for approval via the ”Bruger godkend” button.

Your timesheet has now been sent for approval.

Follow the checkmarks at the top to see progress.

How to register your time and submit your timesheets


This manual describes and illustrates the steps to:
  1. Register working hours on external projects.
  2. Approve and submit timesheets.

This manual does not consider faculty specific rules and regulations.

Register your time

Select period

Select the specific month of interest and the preferred timeframe, month, week or day.

Select the project(s)

  1. To find a specific project, click ”Fraværstype/projekt”

  2. Select/mark the project(s) of interest.

Note that…
For future registrations the selected project(s) are saved, unless the marking of the project is manually removed.

Similarly, new projects can be added to your time registration record.

If a specific project cannot be found contact the economic department of the faculty.

 

 

 

Register work hours


There are two types of work-registration available:

  • General work:
    This is time spent on work activities not related to the project(S).

  • External projects:
    This is time spent on project related work.

Note that…
Project work time registration cannot exceed 1628 hrs. annually. The rest of your working hours can be registered as General work.

Time converter:

1 hour = 1.
15 minutes = 0,25
30 minutes = 0,5
45 minutes = 0,75
(Minutes are divided by 60)

A fulltime workday of 7 hrs. and 24 min. = 7,40

Register Holiday /absence:


Absence

When registering time absent due to illness or other personal matters, the type of absence must first be selected before it becomes available for registration.

Click “Fraværstype/projekt“. Scroll down to find the type of absence needed. Select and register your time absent.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Holiday

Your planned holidays are registered in HCM which is linked to mTIME, making your holidays visible in mTIME. If you find inaccuracies or wish to make
changes to your planned holiday, this must be corrected in HCM. Changes in HCM occurs in mTIME after approximately 4 hours.

Approve and submit

  1. When all activities for a given month have been registered, go to “Overview” under “SUMMARY”.

     

  2. If the recordings for the given month are correct, then click “User approve”.

The recordings have now been submitted to your Staff leader for final approval.

Note that…
It is only possible to approve and submit once. Therefore, make sure you do not submit your recordings before all activities have been registered for the given month.
