Visiting staff

Managing visiting staff at SUND

SUND collaborates with many external partners who, for shorter or longer periods, require access to SDU’s systems and facilities. These are individuals who are not employed by SDU but are temporarily affiliated with the university – previously referred to as loosely affiliated staff or visiting researchers.

To ensure efficient and secure management, SUND HR has developed a shared setup.

Visiting staff covers several categories – such as researchers, lecturers and project partners.

The overview helps clarify the type of affiliation the visitor has and what kind of access should be granted.

If the visitor has specific needs, you can indicate them directly in the online request form.

Whether it's a new affiliation or an extension, you must use the digital request form. It can be completed by both the host and administrative staff. Please note that the host must hold at least associate professor level (lektor).

Once the request has been submitted, SUND HR will assess it and prepare a contract. Access will only be granted once the contract is ready. If there is any doubt, the relevant department will be consulted.

When the contract has been approved, both the visiting staff member and the host will receive a digital agreement for signature via Addo Sign.
