Stationing abroad

All agreements on work-related trips and secondments must be made between the employee and the department. If the stay abroad entails changes to your conditions of employment, SDU HR Employees must be notified so that an updated certificate of employment or a supplement can be made.

Definition

Whether it is a work-related trip or a secondment depends on the length of the trip:

Work-related trip: travelling including accommodation in the same place for a maximum of 27 days.
Posting: travelling and staying overnight in the same place for a minimum of 28 days.

Important things to consider before travelling

  1. Agree on all details with the department and host institution

    Before travelling, agree the details of your stay abroad with your line manager and your department.
    It is recommended that you agree on who will pay for travel and accommodation costs and whether hourly/daily allowances will be provided during your stay.

    Contact the host institution and find out if there are any special considerations and if you need a residence and work permit or a visa.

  2. Check if your stay will affect your personal circumstances
    A stay abroad can affect your personal circumstances such as tax, social security, and insurance.

    It is therefore recommended that you clarify this before departure.

    Tax
    Contact Skat Udland to clarify whether your tax liability is affected by your stay abroad.

    Social security
    Contact Udbetaling Danmark for confirmation of where you are covered by social security during your stay.
    In some countries, it is a requirement to bring an "A1 form", which can be applied for on Borger.dk here.

    Insurance
    During a secondment, you are covered by SDU's insurance via Europæiske Rejseforsikring.
    It is recommended that you contact SDU's Travel Office via e-mail as well as your own insurance company to ensure that you have the correct insurance.
    There may be special rules in the country you are traveling to, so it may be a good idea to also investigate this before departure.

    Unemployment insurance fund
    If you are a member of an unemployment insurance fund in Denmark, you should contact them to learn more about the conditions for membership during your stay abroad

  3. When all agreements regarding your posting are made, your department must notify SDU HR Employees to obtain a possible contract addendum stating that your place of employment has changed.

It is recommended to follow travel advisories from the Ministry of Foreign Affairs, as they contain updated information on safety and risk conditions at the destination, including the political situation.
