Smartreg – your time tracking system as a PhD student

What is Smartreg?

Smartreg is a system for registering your activities as a PhD student. The system keeps track of your 840 working hours and the 300 dissemination hours that you need to document during your education. It is your responsibility to register your hours correctly and continuously update the system.

Important: Smartreg is an internal registration tool. Approval of hours in Smartreg is not the same as official approval from the head of the department or the PhD study committee.

How to use Smartreg

  • Log in to smartreg.dk with your SDU email address and password.
  • Update your information under the menu item PhD students – here you can specify research interests and teaching preferences.
  • Register your activities under the menu item Tasks:
    • Teaching: Specify course code, type of teaching, and number of contact hours.
    • Foreign stays: Enter university, research group, and period of stay.
    • Lectures: Note title, duration, and number of times the lecture was given.
    • Other dissemination: Document number of hours and specific activity.
  • Get your hours approved by the relevant persons:
    • Lars Rohwedder and Kristian Debrabant approve teaching activities.
    • Yuri Goegebeur approves dissemination hours.
    • Martin Svensson approves working hours and other activities.

What counts as working hours?

You may only register working hours in Smartreg if they fall within the following categories:

  • Teaching as a lecturer or teaching assistant.
  • Approved foreign stays.
  • Other activities approved by the head of the department, such as supervision of bachelor projects or theses.

Note: Dissemination hours that are not also working hours are first approved by the department’s PhD study committee. Document your activities and attach the documentation in Smartreg for final approval.

When and how are your hours approved?

  • Teaching: Approved continuously by relevant teaching responsible persons.
  • Dissemination hours: Must be documented to the PhD study committee twice during the study.
  • Working hours: Visible to the head of the department but require special approval in certain cases.
