Registration of working hours

The purpose of time registration is to comply with the law and – perhaps more importantly – to ensure a good and attractive working environment at SDU

Implementation of time registration in mTIME – our progress so far

SDU is now ready to have the first group of TAPs start registering working hours in mTIME after a successful pilot phase with selected TAPs from the Faculty of Engineering and the Central Administration.

Time registration takes place in mTIME. The system was previously chosen for hourly-paid DTAPs and project employees on external projects, so it was natural to incorporate time registration according to the Working Hours Act into the same system.

During the pilot, which tested both the system and the process, it was requested that employees should be able to see their balance in real-time and not just receive a notification if they exceeded the law. We are working to accommodate this request.

We expect that all TAPs (non-flexitime registrants) will be able to register time in mTIME at the beginning of 2025. After that, TAPs covered by flexitime arrangements will be moved from Buanco to mTIME.

Self-organisers do not need to register working hours

At the end of June, the Agency for Employee and Competence Management set the direction for how universities could handle the many employees who are allowed to schedule their own working hours. This group includes both managers, monthly-paid academic staff (VIP), and hourly-paid academic staff (DVIP).

The process of exempting managers is almost complete, and supplements to employment contracts are being prepared and sent out.

We have now reached the process of exempting VIPs and DVIPs who do not need to register working hours. An individual management assessment must be made here. This assessment is carried out by the head of the department. The head of the department will inform when the process starts at the individual department. Employees who are assessed to be self-organiser will receive a supplement to their employment contract.

When to start registering working hours

Those covered by the rules on time registration will need to register their working hours from July 1, 2024. For those who need to register working hours but are not yet in mTIME and have not received information about the procedure, an Excel sheet for preliminary time registration can be downloaded from SDUnet (both in Danish and English).

Current time registration:

  • If the employee registers working hours on external research projects in mTIME, this continues as before.
  • If the employee is covered by a flexitime arrangement and registers working hours in Buanco, this continues as before.
  • Other employees and managers will be continuously updated as we reach their unit.
