Translation and proofreading

To order translation or proofreading, use our form here. You cannot order via email.

Your text must be in an editable file in one of the following formats: .docx, .doc (Word), .xlsx (Excel), .pptx (PowerPoint), .idml (InDesign) and .txt. We do NOT accept PDF files for editing, but you may provide them for reference.

Translation: Max. 8,000 words per order.
Proofreading: Max. 10,000 words per order (excluding the list of references).

You may not split up a text exceeding 8,000 or 10,000 words into multiple orders.

Drag and drop your file into the file transfer field in the order form or click the field and locate your file via Windows Explorer. If you want to upload more than 10 files, compress them into a ZIP file and upload it.

Please run a spelling and grammar check on your text before submitting it. This helps us save time.

You can get help with a wide range of texts: scientific articles, news, speeches, announcements, guidelines/instructions, reports, presentations, exam regulations, etc.

We do not offer authorised (stamped) translations, e.g. of legal documents.

We are unable to assist with transcription of audio recordings.

AI is a useful tool, but please be careful when using it to generate texts. Never use AI for texts with sensitive content or personally identifiable information.

Avoid sending AI-generated translations for post-editing/proofreading. Please send us the source text so we can translate it ourselves from scratch. If you do use AI, you should clearly indicate which parts of the text were generated using AI.

The following issues are often seen in AI-generated texts:

• Texts reflect the keywords fed to the tool, which increases the risk of recurring errors in the text.

• AI tools generate standalone sentences, and there’s no guarantee that they will be coherent – especially in long texts. For example, a word may be translated in different ways in the same text, or the text may switch arbitrarily between American and British English.

• Pay special attention to idioms, metaphors and imagery, as AI tools cannot necessarily interpret the underlying meaning.

• AI tools do not recognise SDU’s approved terminology and language policy.

Remember that you are responsible for the text. Therefore, please check AI-generated texts carefully to ensure they are accurate and consistent before sending them to us.

If there is any personally identifiable information in your text, please anonymise the information before submitting the text for translation or proofreading.

For example, you can replace names in the text (e.g. 'Anders Andersen') with PERSON-1 etc. This protects translators from inadvertently gaining access to confidential information.

When you receive the translation, simply replace the generic personal names with the correct ones.
