If you need a hotel in Denmark, you should, as far as possible, use a hotel under SKI's hotel agreement. This applies to both individual stays and stays in connection with conferences.

Please note that the Housing Service cannot book hotels abroad. In such cases, you should instead book through SDU's travel agency CWT. 

To book a hotel, you need to send an email to hotel@sdu.dk.

You must include the following in the email:

• City and, if applicable, the hotel
• Name of the guest
• Arrival
• Departure
• Payment information:
  Department
  EAN number
  Reference to be included on the invoice

Please note that you are not required to book hotels through the Housing Service. You are welcome to contact the hotel directly or book via the Hotel Application. However, please ensure that you secure the agreed price for the stay. 

Be aware that you are responsible for cancellations. You can find the cancellation deadlines on TrueTrade. 

There is high demand for hotels in Copenhagen. Therefore, we recommend that you send your booking request at least 2 weeks before you need accommodation.

To book a hotel in connection with a conference or similar, you need to send an email to hotel@sdu.dk. 

Please include the following in your email, if possible:

• Name of the conference
• Hotel preferences (preferably two to three options in order of priority)

• Arrival and departure dates
• Payment information:
  Department
  EAN number
  Reference to be included on the invoice

The Housing Service will then ensure the reservation of the requested number of rooms. If you wish, we can also assist in keeping track of the guest list and cancellation deadlines. You are responsible for cancelling any excess rooms unless otherwise agreed. 

Please note that the Housing Service does not assist with booking conference rooms or catering. If you wish to book these, you need to contact the Procurement Office at udbud@sdu.dk.

Financial Services has created an overview of the guidelines you must follow regarding hotels and accommodation.

All foreign guests and employees who are not residing in Denmark and need housing for a minimum of 14 days.

For stays of less than 14 days, please refer to hotels.

Guests or employees who are already staying in Denmark cannot apply for housing. Available housing is reserved for incoming foreign guests and employees. 

Please note that it is ultimately the responsibility of the host institute/department to find housing for foreign guests and employees. There is no housing guarantee, but the Housing Service will attempt to assist all guests and employees to the greatest extent possible. 

The housing service offers a portfolio consisting of its own properties as well as properties from various landlords in Odense - both private individuals and rental companies. All properties are rental accommodations. 

The following types of housing can be offered, depending on the guest's or employee's needs and the duration of their stay:

• a room with shared kitchen and bathroom
• a private apartment, various sizes
• a private house, various sizes

All accommodations are located within 10 km of the Odense campus, unless the guest or employee wishes to live further away. 

Most rentals are furnished and fully equipped with linens and kitchenware.

Please encourage your guest or the employee to send the form as soon as possible. The more time the Housing Service has to find accommodation, the greater the chance we can find the perfect match. 

Additionally, it is important that your guest or the employee reads the entire form carefully, as it contains important information about, among other things, limitations regarding price, type of accommodation, size, and number of rooms. 

Please note that the Housing Service only facilitates contact between the guest/employee and the landlord. The Housing Service is not responsible for the condition of the accommodation or the rental contract entered into between the guest/employee and the landlord. However, the Housing Service strives to quality-check all accommodations.
