How to use researcher IDs and SDU affiliation correctly
Check your researcher profiles
As a researcher, you are responsible for checking your profiles, publications, researcher IDs and affiliations.
Use PURE as the starting point to check your publications and your researcher profile. You must check your organisational affiliation in HCM.
Check the following:
- Check that all your publications are registered correctly
- Check that your university affiliation uses an approved affiliation format
- Register your Scopus Author ID and Web of Science Researcher Profile ID
- Check that ORCID is connected correctly to PURE
Scopus automatically creates Author IDs. This can mean that one researcher gets several profiles, or that publications are placed on the wrong profile.
Check the following:
- Find all Scopus Author IDs linked to your publications
- Ask for duplicates to be merged
- Add or correct missing publications
- Connect your Scopus profile to ORCID
The researcher must create or verify the Web of Science Researcher Profile manually.
Check the following:
- Create or verify your Web of Science Researcher Profile
- Check that your publications are correctly linked
- Check that there are no duplicate profiles
- Connect the profile to ORCID
ORCID connects the researcher’s other IDs and can follow the researcher throughout their career. When ORCID is set up correctly and connected to relevant systems, publication information can be exchanged and maintained more easily across profiles.
Check the following:
- Check that your ORCID profile is public
- Check that ORCID is connected to your Scopus Author ID and your Web of Science Researcher Profile
- Check that SDU is listed with the correct institutional affiliation
An updated Google Scholar profile may be relevant if your publications are not fully covered by Scopus or Web of Science.
However, Google Scholar should be used as a supplement, as its data basis and quality assurance differ from Scopus and Web of Science.
For heads of department and heads of research groups
As a head of department or head of a research group, you should pay particular attention to whether the researchers’ organisational affiliation is correctly registered in SDU’s HCM system.
Information from HCM is transferred to PURE and forms the basis for how the researchers’ affiliation appears in SDU’s research registration.
Pay particular attention to
- researchers with joint appointments
- researchers with hospital affiliation
- researchers who have changed organisational affiliation
Researchers do not necessarily know whether their organisational affiliation is correctly registered in HCM. Errors may therefore carry through to PURE and external research databases.
Why correct researcher IDs matter
Correct researcher ID’s and affiliations help ensure that research is linked to the right researcher and institution.
This helps ensure, among other things:
- correct registration of publications and citations
- correct attribution of research to SDU
- reliable bibliometric analyses and management information
- correct data basis for international university rankings
- documentation of SDU’s research strengths
Check your researcher profiles every year
SDU Analytics carries out an annual review of researcher IDs on 1 July. You should therefore check at least once a year, during the second quarter, that your profiles and affiliations are still correct.
- New publications are registered correctly in PURE
- Your affiliation and organisational connection are still correct
- There are no duplicates or misplaced publications in your researcher profiles
- The connection between ORCID, PURE, Scopus and Web of Science works.
