Faculties prepare for the transition to new programme administration

The transition is now clearly being felt locally, where programme administration managers and employees are working to ensure clarity, coherence and stable operations during the transition period.

As more employees prepare their transition to SDU Education, it is of course important how the faculties' tasks take shape in the new organisation. The faculties are currently working on both task transfers and organising the tasks that will continue to be handled locally.

Although the faculties are organised differently, the common denominator is that heads of educational administration have now been appointed - including Camilla Gundlach (NAT), Jørgen Breier Henriksen (TEK), Lone Granhøj (HUM), Kirsten Zeuthen (SUND) and Annette Schmidt (SAMF) - with responsibility for policy tasks and for ensuring a close link to the Central Administration. In many places, the transition has already led to organisational changes.

In this update, three heads of programme administration talk about their work in the current phase - and about some of the efforts that will ensure both employee well-being and stable operations up to and during the transition.

NAT Camilla Gundlach

At NAT, we're working intensively to prepare for the organisation of the programme administration. We have a particular focus on creating clarity, security and support for the employees and managers affected by the changes. In our work with the policy functions in the departments, we are working to support employees through the change process and to clarify the interfaces between policy tasks and operations. At the same time, we are focusing on how we handle stable operations in supporting students during the transition period so that they continue to get the support they need.

TEK Jørgen Breier Henriksen

The employees directly affected are part of TEK Education, and we provide updates at department meetings and encourage people to contact us with questions. The entire faculty administration at FAK-ADM will be informed about the process at a meeting on 4 December, and we are continuously working to ensure that employees not directly affected are aware of what is happening in the organisation.

It has been important for us to emphasise that everyone must continue to perform their current tasks until others take over. We will help each other to complete the tasks during the transition phase until they are fully handed over during Q1.

The transition has given rise to an adjustment of the organisation of the study administration at the faculty with the creation of three new teams and the consolidation of student recruitment in TEK Education.

HUM Lone Granhøj

At HUM, we are in the process of a major study board reform, which means that from January we will have eight study boards. This will lead to changes in collaboration and in how we support the heads of studies.

We are also in the process of describing the sub-processes within exams, planning and the organisation of teaching. The descriptions will form the basis for the cooperation agreement between HUMFAK and SDU Education. We are also working on reallocating the tasks that remain at the faculty, but where the resource is transferred to SDU Education, such as PhD administration. The reallocation of tasks means that we need to integrate employees from the former degree programme secretarial office into the faculty administration.

In the coming months, the work of creating clarity, common direction and good local solutions will continue as tasks are moved, roles are adjusted, and new interfaces are established.
