Info for all mTIME users: Annual Celebration 2025 and time registration

We have made a system adjustment that automatically recognises the half day off that applies on Friday, when the Annual University Celebration takes place. You need to be careful to register working hours correctly - here's a guide for mTIME users.

SDU’s Annual Celebration 2025 will be held Friday, October 31, 2025.

On this occasion, SDU closes at 12:00 PM (noon), and the day is therefore considered a half day off for all employees.

Impact on your time registration in mTIME:

We have made a system adjustment that automatically records the half day off for you:

  •  Hours per day are set to 4 hours: In mTIME, the daily working hours for October 31, 2025, have been set to 4 hours for all employees (regardless of your normal working hours or employment percentage)
  • This applies whether you are full-time or part-time employee, and regardless of how you normally register your time in mTIME

IMPORTANT: Only register your actual working hours

It is important that you only register the number of hours you actually work on Friday, October 31, 2025.

Example 1: If you have worked 2 hours (e.g. from 8:00 AM – 10:00 AM), you must register 2 hours
Example 2: If you have worked 8 hours (e.g. from 8:00 AM – 4:00 PM), you must register 8 hours

If you are absent during the day:

If you are on holiday or have other absences on Friday, October 31, 2025, you must register it as follows:

Holiday:

  • If you take a full day of holiday, this will count as a full holiday day in HCM. In mTIME, you must register 4 hours under the absence type

"Ferie/Vacation"
Other absences (e.g. sickness):

  •  If you have other absences for the entire day, you must register 4 hours under the correct absence type
  • If you are absent for part of the day, you must first register your working time and then your absence time. The total sum of working time and absence time must not exceed the 4 hours (the normal working time for the day)
