Guidelines for the use of IT for employees

As an employee, you must follow SDU’s guidelines for the use of IT. In the guidelines, you can find out more about what is and what is not allowed when you use SDU’s equipment, networks and systems. 

The guidelines apply to all employees, and you can keep yourself updated on SDUnet. IT includes equipment, networks, systems, applications, etc.

Follow the 10 pointers below about using IT, and you will be on the right track. You must/may: 

1. Use IT in compliance with common sense and consideration for students, staff and other partners. 

2. Ensure that the use of IT does not damage SDU’s reputation. 

3. Do not entrust equipment, systems, etc. provided by SDU to children, friends or cohabitants. 

4. As a starting point, use IT only for solving work tasks for SDU.
4a. Within the legislation and rights framework, use IT for private use as long as it is not for a commercial purpose. For example, you may use your PC to take minutes from a football club board meeting or search the internet, but you may not use SDU’s license on SurveyXact to sell questionnaire   surveys for your own company. Label elements ‘private’, but also note point 10. 
4b. As a rule, private equipment should not be used to solve work tasks for SDU. There may be special exceptions. If so, discuss this with your manager. If you have to use private equipment, pay special attention to security. 

5. Ensure that you are the only user of the ID you have been assigned. If you choose to share your user ID in violation of the rules, you are responsible for any actions taken by the borrower. 

6. Do not bypass SDU security measures unless it is part of a specific SDU approved research project and/or the activity has been pre-approved by your manager and SDU IT. 

7. As a rule, information belonging to SDU may not be processed in systems that have not been approved by SDU IT. If in exceptional cases you install software as a community manager, you must ensure that the required license and any data processing agreements are in place. 

8. Only use electronic resources (e-books, journals, etc.) for studying, teaching and research.  

9. Ensure that items subject to record keeping obligations are registered in SDU’s ESDH system. 

10. Consider what private items you store on your SDU email or other storage solutions, as SDU is required to keep track of activities taking place on  SDU’s networks, systems, etc.
