Register your working hours and absences - for you who are a consultant or a flexi-job employee
Recording working hours is an essential part of a healthy and responsible work environment at SDU. Time registration helps ensure your rights, your well-being, and that working hours comply with the applicable regulations – including the requirement that the average working time does not exceed 48 hours per week.
Here, you can see how to correctly register your working hours:
When you are a consultant or a flexi-job employee, you must register your daily working hours. Every day around midnight, mTIME will automatically fill in your workday with your daily standard (for a 37-hour workweek, this is 7.4 hours per day) if you have not registered hours yourself by then.
If you wish to change the number of hours on a specific day, you must first delete the auto-filled number of hours (press Enter to remove the speech bubble), then enter the correct number of hours.
(You can select a different month in the calendar on the left side).
Absences due to illness, child sickness, care days, senior days, etc., must be registered by yourself.
Holidays are automatically registered in mTIME. All other absences must be registered by yourself.
Register the number of hours you are absent
As a senior or chief consultant, etc., you must register the number of hours you are absent:
Select the correct absence type and enter the number of hours for the absence.
Note! If the absence is less than a normal working day, the hours must be distributed between working time and absence. The total time must not exceed 7.4 hours daily.
Absence for whole days
If you are absent for an entire day, you must register your daily norm under the relevant reason for absence.
If you wish to take a day off in lieu (time off in compensation) in order to reduce your average number of working hours for a given period, simply leave the day blank. When the system has automatically filled in your daily norm, it can be removed by registering 0 instead.
Important to know about holidays
Your planned holidays, special holiday days, and holiday cards are automatically transferred from HCM to mTIME. If you want to change your holiday, you must do so in HCM (mTIME updates approximately every 4 hours, so changes may be slightly delayed).
If there is a discrepancy between mTIME and HCM: First check the information in HCM, and contact your local absence manager if something is incorrect.
You must approve your timesheet no later than the fifth of each month.

Review your timesheet to ensure everything is correct:
- Go to the tab “Overview” under “Statement” on the left side:
- Check that your hours are correct and then click on “User approval”:
- A pop-up box will inform you of your current flex balance.
Click “Ok” to continue:
- In the next pop-up box, it is optional to write a comment.
Click “Ok” to proceed with the approval.
The timesheet is now approved and can no longer be edited.
Your manager does not need to approve your timesheet.
Note! You must approve your timesheets in chronological order.
Reopening a timesheet:
If you need to reopen a timesheet (to correct any errors), contact mTIME support via email: mtime-support@sdu.dk.

You can switch between months (and years) in the calendar on the left side or by using the arrows
Adding a comment
If you wish to add a comment to your entry, this can be done on the left side.
Stand in the field for the relevant day. Then enter the comment. The comment can be viewed by your manager.
Select period
Your timesheet can be displayed as a day, a week, or a month. It is recommended that you choose a monthly overview.
Add more activities to the timesheet (Note: ONLY FOR PROJECT TIME REGISTRATION)
Click on ”Select absence type/project” to add the relevant project(s) to your timesheet
Tick the box for the project(s) that are relevant to you.
Then click on the cross.
The selected projects will now be displayed in your timesheet.
Total hours
mTIME calculates a total of your hours per day and per month.
Total time spent: calculated based on check-in/check-out times and absence
Daily work norm: your standard time.
Difference: the difference between the total time spent on the day and the standard timeAn unfilled week:

Note: Conversion of hours: mTIME calculates in hours/decimals and not hours/minutes.
A standard time of 7.24 hours will therefore be displayed as 7.40 hours.
Pay particular attention to this when registering absences that are less than a day.
