Guidelines for Windows licence purchased for SDU

Windowlicence - what applies at SDU?

Computers purchased for SDU must generally have a Windows licence - either included or purchased.

SDU's Microsoft 365 agreement only covers upgrading from a Windows licence. If the computer does not have a Windows licence, it is not legal to install Windows - either directly on the computer or via virtualisation.

SDU employees are allowed to log in to Microsoft services such as email from the computer, as the licence follows the user (EQU - Education Qualified User).

On Mac computers, according to Microsoft, it is allowed to run a virtual Windows via macOS with SDU's licences.

Exceptions

It is permitted to opt out of the Windows licence when purchasing a computer if it is an option. However, if the licence is deselected, you may not install Windows on the computer - either directly or as virtualisation - unless you have purchased a licence.

Several vendors such as HP, Dell and Lenovo do not offer computers without an operating system. Therefore, it is not possible to opt out of a Windows licence when purchasing equipment from these manufacturers.

Liability when opting out of a Windows licence

The owner of the computer is responsible for ensuring that Windows is not installed on the computer without a licence. If you circumvent this requirement, you are violating the licence rules and committing a knowingly illegal act.

The Windows licence exemption is a special situation. Therefore, the owner of the computer has an extra responsibility to ensure that the computer is not installed with Windows - for the lifetime of that computer. The owner must also make SDU IT aware that the computer does not have a Windows licence if support is requested.
