Ordering and paying for printed matters

The Graphic Centre is SDU's internal print shop and delivers printed matter to employees, students and partners. Here you can read how to order and pay for print jobs.

The Graphic Centre handles print jobs that are directly related to SDU's activities. Private jobs are not accepted. Orders are placed via our webshop and we do not accept orders by email.

  • The Graphic Centre primarily prints materials for university units and employees, but in special cases external partners can also get help - for a fee and according to specific guidelines. Read the guidelines and terms below:

    • All SDU employees and PhD students can order free prints via the Graphic Centre's webshop. To get free print, it is a requirement that SDU is a clear sender, for example with the SDU logo and correct colours. You can read more in SDU's design guide.

      Ordering free prints is done via the Graphic Centre's webshop, where you log in with your SDU email account. If you are unable to log in, please contact SDU IT by email servicedesk@sdu.dk.

      Print products that are not available in the webshop can still be ordered, but it costs money. These orders are made via the Graphic Centre's order form.

    •  Students can order prints via the Graphic Centre webshop and pay by credit card or MobilePay.

      Once your order is received, you will receive an order confirmation with an order number by email.

      If the desired product is not available in the webshop, you can order via the Graphic Centre's order form.

    • Student organisations affiliated with SDU have two options for ordering prints:

      Via the Graphic Centre's order form: An invoicing fee of DKK 125 excl. VAT will be added. Order prints via the order form.

      Via the association contact at studentorg@sdu.dk:

      If the organisation has an analysis number or has been awarded a grant from SDU, ordering can be done internally without an invoicing fee.

      In that case, you must send an email:   

      • Which material you want to order (see options in the webshop)   
      • Specifications: quantity, size and any image file   
      • Desired pick-up date   
      • The analysis number to be invoiced

    • External partners can have posters and roll-ups printed for use at conferences or events at SDU. This is necessary due to SDU's fire regulations, which do not allow you to bring your own posters or roll-ups.

      SDU does not print other material for external partners unless SDU is the clear sender or co-sender.

  • At Grafisk Center, we can help with prints on many different materials:

    • Business cards. The design is locked to SDU's design line, but you can edit contact information and add photos. Order via the webshop.
    • Reports (standard formats) and PhD dissertations (book in 17x24 cm.)
    • Leaflets, booklets, posters, roll-ups and banners. Download templates here.
    • Master's theses, bachelor's and master's theses 
    • Compendiums and course materials
    • Name badges and place cards. You can choose between name badges with data stain in SDU design or your own design in PDF. Order via the webshop.
    • Stickers and stickers

    All files must be delivered as PDF. See the section How do I prepare files for printing? section for instructions.

  • We only print PDF files. Therefore, always remember to convert your file to PDF before sending it to print.

    If you created your file in PowerPoint, select 'Save as Adobe PDF' if available. This will preserve the correct formatting and fonts to avoid errors in the final print.

  • PhD dissertations are printed as a book in the format 17 × 24 cm. The printing process passes in two parts:

    1. Set up the dissertation in the Word template. Download Word template.
    2. Order cover and print in the webshop. Go to the webshop.

    The cover is ordered separately in SDU's webshop using a special cover template. Here, you choose the colour and add information to the cover. The cover is part of SDU's visual identity and is available in 10 colours.

    Proofread carefully before approving in the webshop. You will be charged for reprints due to errors. We recommend that you order a proof so that you can review the dissertation before the entire edition is printed.

    Technical requirements

    We only accept PDF files for printing. Production time is approximately 6-10 business days. If you order a proof, the total production time will be longer. Delivery time must be added.

    We recommend using the SDU Word template. If you don't use the template, you must make sure, that the document is adapted to the book format 17 × 24 cm before you send it for printing:

    • The dissertation is printed in 80%. Always make test prints in 80% before sending to print. (Times New Roman 12 pt. corresponds to approx. 10 pt. after scaling)
    • Margins should be at least 2 cm on all sides.
    • Page numbers are placed centred at the bottom or alternating right/left.
    • Use Times New Roman, 12 pt. for body text and Arial for headings.

  • The production time of prints depends on the size and type of the job.

    The indicative production times are:

    • Flyers, booklets and business cards - approx. 2-3 working days for up to 1,000 pieces.
    • Books with glued spines - approx. 5-10 working days, depending on quantity.
    • PhD dissertations - approx. 10 working days. 

    When your order is ready, it will either be delivered via internal mail to SDU's addresses or sent by PostNord to other addresses. You will receive an email as soon as your order is ready for collection or dispatch.

Make your printed matter more sustainable

At Graphic Centre, we take responsibility for the environment - and you can also make a difference with your choices.

Here's what we do
We focus on reducing the carbon footprint of our printed matter. We print on sustainable paper with the lowest CO₂ emissions in the industry and offer flexible production and reprints so you only order what you need. This way, you avoid unnecessary stockpiling, which costs both money and resources.

We also recycle materials such as cardboard boxes and roll-ups. You can return your used roll-ups, including transport bags and cardboard boxes, in good condition so we can use them again. When ordering a new roll-up, you can choose a recycled cassette - it's both cheaper and better for the environment.

What you can do
As a customer, you can reduce your carbon footprint by thinking about paper choice and grammage:

  • Paper choice: Recycled paper is our most climate-friendly option. Tissue paper is in the middle of the scale, while regular copy paper requires the most energy to produce.
  • Grammage: Choose the grammage that's right for the job - no more, no less. For example, if you choose 130g paper instead of 100g 'just for a heavier grade', you increase the environmental impact by 30%.

If you are unsure about paper type or grammage, you are always welcome at the Graphic Centre to see samples and get advice.
