Whom should you ask for help in the secretariat?

Use this overview if you are in doubt about who to ask in the secretariat at IMADA.

Please note that the SDU eScience Centre, the Centre for Quantum Mathematics, and the Centre for Research in Science Education and Communication also have their own centre administrators in the units themselves.

Not all the tasks we carry out in the Secretariat are included. However, click on the individual boxes to see who can help you with your enquiry:

ID card and keys are administered by the secretariat, which is also responsible for issuing them.

You can get advice and support for all types of events. As soon as you know that you are organising an event or conference, you can contact:

Ursula can help you with advice on planning, budget, venues, catering, conference materials, partners, communication and marketing, etc.

Please note that the Secretariat does not carry out the tasks, but can, by special agreement, contribute to the execution of some parts of the planning tasks and the organisation of the event together with the project team.

For all types of procurements and purchases, such as office supplies and IT equipment, send an e-mail to:

Please note that purchases over DKK 3,000 must first be authorised by the Head of Department.

Whatever you buy, Peter and Per need to know the cost centre and research group before they can order. Remember that when you pay with project funds, Peter and Per need the full account string (i.e. expense category account, cost centre, project number (7 numbers!) and an analysis number).

In the SDU IT-webshop you can see IT equipment such as computers, tablets and smartphones etc. However, you are not allowed to order IT equipment yourself, Peter and Per do that.

If you need equipment that cannot be found in the webshop, you should also write to 314@imada.sdu.dk.

Please note

You may not purchase IT equipment outside the SDU IT webshop. All IT-related purchases must be made through the webshop by Peter and Per. This applies to both ordinary and external funds.

You can publicise your event on the university’s information screens. Contact:

The information screen for IMADA students is located at the entrance to the IMADA secretariat. There is also an info screen at the entrance to the Faculty of Science. Both screens are located on Knoldene Ø.

In addition, there are a number of information screens at the Faculty of Engineering that are managed locally, but could be relevant to your posting.

Our Outreach Coordinator manages the contact and activities with primary, secondary and other upper secondary schools and develops initiatives and professional workshops, discussion cafés and guided tours in cooperation with them.

The coordinator also helps to organise Open Days and Forskningens Døgn. Contact:

Letters and packages can be collected from the mailroom (ø14-604b-2) at the Mathematical library.

Dispatch and delivery times
Technical Services collects mail:

Monday to Thursday at about 2PM
Friday at approx. 1PM

Letters and packages are delivered all the time.

In the mail room you will also find office supplies, a colour printer with scanner and a laminator.
