Booking of hotel rooms in Denmark
If you require a hotel in Denmark, you should use one of the hotels included in SKI's hotel agreement if possible. This applies both to individual stays and stays in connection with conferences.
Note: The Accommodation Office cannot book hotels abroad. In such cases, you must book via SDU’s travel agency CWT instead.
To book a hotel, please email hotel@sdu.dk.
The email must include the following information:
- City and (if possible) hotel
- Name of the guest
- Arrival
- Departure
- Payment details:
- Department
- EAN no.
- Reference, which should be stated on the invoice
Note: You are not required to book a hotel through the Accommodation Office. You are welcome to contact the hotel directly or book via the Hotel application. However, do make sure that you get the stay at the agreed rate.
Note: You are responsible for cancellation. Please find the cancellation deadlines in TrueTrade.
Hotels in Copenhagen are in great demand. We therefore recommend that you send your booking inquiry no later than two weeks before you need accommodation.
To book a hotel in connection with conferences or similar, please email hotel@sdu.dk.
You must state the following in the email, if possible:
- Name of conference
- Preferred hotel (list two-three wishes in order of priority)
- Arrival and departure dates
- Payment details:
- Department
- EAN no.
- Reference, which should be stated on the invoice
The Accommodation Office will then make sure to book the desired number of rooms. If you wish, we can also help you keep track of the guest list and cancellation deadlines. You are responsible for cancelling any excess rooms, unless otherwise agreed.
Note: The Accommodation Office does not assist with the booking of conference rooms and catering. To book these items, please contact the Tender Office at udbud@sdu.dk.
If you have any questions, please contact hotel@sdu.dk.
Housing for international guests and employess at SDU
All international guests and employees who do not live in Denmark and who need accommodation for a minimum of 14 days.
For stays of less than 14 days, please use a hotel.
Guests or employees who are already staying in Denmark cannot apply for housing. Vacant housing is reserved for incoming international guests and employees.
Note: It is ultimately the responsibility of the host department/unit to find accommodation for international guests and employees. While there is no housing guarantee, the Accommodation Office do its utmost to help all guests and employees.
The housing agency has a housing portfolio that consists of its own homes as well as homes with a number of landlords in Odense – both private individuals and property rental companies. All homes are rental homes.
The following types of accommodation can be offered, depending on the needs of the guest/employee and the duration of the stay:
- a room with shared kitchen and bathroom
- a private flat (sizes differ)
- a private house (sizes differ)
All homes are located within 10 km of Campus Odense unless the guest or employee wishes to live further away.
Most of the rentals are furnished and fully equipped with linen and kitchen items.
The guest or employee must complete the guest form below and send it to bolig@sdu.dk:
The guest or employee must fill in the form themselves.
Please ask your guest or the employee to submit the form as soon as possible. The more time the Accommodation Office has to find a home, the more likely we are to find the ideal one.
Furthermore, it is important that your guest or the employee reads the entire form carefully, as it contains important information, such as restrictions on rates, housing type, size and number of rooms.
Note: The Accommodation Office only facilitates contact between the guest/employee and the landlord. The Accommodation Office is not responsible for the condition of the accommodation or the rental contract entered into between the guest/employee and the landlord. However, the Accommodation Office endeavours to quality check all housing.
