Rules regarding the allocation of classrooms

Technical Services has the overall responsibility for allocating classrooms for the spring and autumn semesters. All timetable schedulers must follow the guidelines below when booking classrooms on Campusvej to ensure the best possible utilisation of the rooms.
Please note that classes scheduled in the semesters take precedence over other activities, and only the Rector can cancel scheduled classes in favour of other activities.

Guidelines

The following types of room are available:

  • Group room for 8-12 people.
  • Single module for 25-34 people.
  • Double module for 40-64 people.
  • Auditorium for 70-100 people.
  • Large auditoriums for 120-450 people
For safety reasons, Technical Services’ instructions must always be followed in relation to number of people. 

Classes are evenly distributed in periods between 08.00 and 18.00 on weekdays.

Technical Services holds meetings with the faculties before the actual room planning, when large auditoriums are allocated (February/September).
The following large auditoriums are available:

U1 (213 people)

U300 ( 189 people)

Technical Services asks timetable schedulers to submit their booking requirements for the upcoming semester (to be submitted March/October). Bookings should be sent to 8888@sdu.dk.

Based on the booked hours, the total utilisation rate for the four room types is calculated (50 hours per week per room = 100% utilisation). The rooms are allocated based on the calculated utilisation rates.

The following provisions can be accepted in connection with booking:

  • The size of the class
  • The connection between lectures and practical classes, in terms of both time and number
  • Joint classes, both within the same faculty and across faculties
  • Module length (difference in semester structure/master’s programme)
 

Technical Services sends an overview of allocated rooms to timetable schedulers (end of March/mid-October). Timetable schedulers must register the allocation in the room booking system TimeEdit. Registration deadlines are the end of June for the autumn semester and mid-December for the spring semester.

The following must stated in the registration:

  • Dates (from and to inclusive)
  • Time.
  • Activity.
  • Cost center.
  • Subject.
  • STADS code.
  • Number of students.
If the room is no longer needed, it is important that the timetable scheduler cancels the booking in TimeEdit so that the room can be used for other purposes.

Pay special attention to the following days in your lesson planning:

  • Annual University Celebration: Due to preparations for the University’s Annual Celebration, all classes are cancelled on the day of the celebration (last Friday in October).
  • Study Start: If introduction activities for new students are to be planned during the teaching period, this must be taken into account in the timetable planning. Technical Services would like to point out that options for placing this activity during the semester are extremely limited unless it has been planned in advance in connection with the timetable planning.
  • Bridge building/University taster course: In week 43 every year, a bridge building/University taster course is held. This activity should be taken into account by all timetable schedulers in their planning, as it is unlikely that rooms will be available for this activity.
  • Battle of the Departments/Students’ Day: Every year, Students’ Day is organised. The day is TEACHING-FREE from 10:00 and this activity should be taken into account by all timetable schedulers in their planning.
