Savings
You can accumulate special leave days and time off in lieu earned through overtime or additional work. The rules for overtime and additional work differ depending on whether you are employed under the State Working Hours Agreement or under the Joint Agreement for Academics.
You can save planned special holidays, but they must first be deleted as planned in HCM. The person responsible for absence at your department can help you with this.
Each year you can choose to save all or some of your special holiday days. You fill out a request in Forms which is sent to HR. Once registered in HR, they will appear in your savings account in HCM.
You may accumulate leave up to a maximum of 15 days. Of these, no more than 8 days may be saved under the rules regarding overtime and additional work.
If you have worked overtime or done additional work, according to an agreement with your immediate manager, then you can agree to save the time off you have earned. The local absence coordinator at your department is responsible for registering your saved leave.
There are no rules specifying when the saved leave must be used. The only regulations relate to the number of days you can save and the framework for taking them.
You can reverse your decision to save leave for future use, but saving is intended as a longer-term option and does not replace, for example, the possibility of transferring holiday leave to the next holiday year.
Your employment contract states which agreement you are employed under. If you are unsure, contact SDU HR or check the list of staff covered by the State Working Hours Agreement (in Danish only).
Taking time off
All arrangements for taking saved leave must be made with your immediate manager.
When you wish to take saved special leave days, you must complete a request in Forms, which is registered by HR. Once HR has transferred your saved leave back to special leave in HCM, you can plan it as you would normally in HCM.
As a general rule, you may take up to eight days per calendar year from your savings account, with a maximum of two consecutive days. All agreements must be made with your immediate manager. If you wish to take more than eight days or more than two consecutive days, it must be approved by your immediate manager.
If you leave your position and have saved leave, it will be paid out in accordance with the rules set out in the respective agreements governing that type of leave.
At SDU, it has been decided that special holiday days cannot be paid out.
