Translation, proofreading and Language Policy

Get help to order translation and proofreading from the Language Service Unit at SDU.

The Language Services Unit (LSU) at SDU provides internal linguistic assistance in Danish and English to SDU’s staff free of charge

To order translation or proofreading, use the form here. Orders placed via mail will not be accepted.

Processing times (subject to availability):

Short texts (less than 1,000 words): 3-5 business days
Long texts (max. 15,000 words): 10 business days

Please note: If your assignment is supported by EU project funding, the Language Services Unit is not authorised to carry out the work . You are therefore responsible for obtaining quotes from other (external) suppliers if the EU funding covers translation/proofreading.

To order proofreading and translation between Danish and English, complete and send our order form, found here.

We no longer accept orders by email, but if you have a question or need help with your order, please write to us at sprog@sdu.dk 

Please note that you will not receive confirmation that your order has successfully been submitted when you send the order form. We will only contact you if there are any problems or questions regarding your order.

For translations in other languages, contact us by email sprog@sdu.dk. Please provide a brief description of the translation you require, including which languages are involved, how many words are in the text and what your deadline is.

Tip: To help us save time, please perform a spellcheck and grammar check before submitting your texts.


Internal processing time is 10 days for proofreading of article length jobs (max. 15,000 words, excl. lists of references), subject to availability.

Internal processing time for jobs under 1,000 words (proofreading/translation) is 3–5 days, subject to availability.

Scientific articles, news items, speeches, notifications, guidelines/instructions, reports, presentations, exam regulations…

We are unable to accept large jobs, such as complete PhD dissertations (monographs) or books.

For video subtitles in English/Danish, please contact Marianne Havndrup (TV2) at maha@tv2.dk. Note: This is a cost-based service.

We do not offer transcriptions of audio recordings.

We translate between Danish and English (both directions).

If you wish translation in other languages, please email us.

We do not accept orders longer than article length (max. 15,000 words, excl. lists of references). Orders larger than are to be sent to our external partner, Semantix. Note: Use of Semantix is subject to payment of a fee.

If we are fully booked and your job is urgent, we will refer you to our external partner, Semantix.

We accept editable files in the following formats: Word, Excel, PowerPoint, IDML, text files (.TXT). We accept PDF files for reference, but not for editing.

Files in other formats will not be accepted.

You are always welcome to give us a heads-up about a forthcoming job and discuss your options. In the event of any delays on your side (e.g. your handoff date), your order will be cancelled and you must place a new order.


No, but if we are fully booked and unable to accommodate your schedule, we will refer you to Semantix. Please note that Semantix’s services are subject to payment of a fee.


our services are available to all SDU employees (including PhD students), but not undergraduate, graduate and other non-employed students.

The first/primary  author must have SDU as their primary workplace, and the text must be written under the auspices of SDU.

We do not accept private tasks.

AI tools translate words and not opinions. This means that if an AI-translated text is received, it will require extra time as both source text and AI text must be reviewed for opinions and SDU words/terms that AI tools typically do not know.

Orders for translation and proofreading must therefore be of the source text.

In text(s) containing personally identifiable information, these details must be neutralised before submitting the text(s) for translation.

For instance, you may want to replace names in the text, e.g. 'John Doe', with PERSON-1 osv. This is to protect the translators from gaining unintended access to confidential information.

Upon receiving the translation, simply replace the generic person names with the real ones.
